Paid and Unpaid Time Off Policy

Vacation, Holidays, and Paid Time Off

  1. Vacation Days 
  • Annual: All agents are entitled to 10 business days’ vacation per year.
  • Availability: Agents can take up to:some text
    • 5 days after 6 months, or
    • 10 days after 1 year
  • Requesting Time Off:  some text
    • Submit time-off requests to your client at least 30 days in advance.
    • Ensure that your Account Manager is kept informed and included in all communications with the client for visibility and approval.
    • Agents must have a minimum of 6 months of tenure with their client to qualify for time off. 
  • Early Resignation:some text
    • If an agent resigns before 6 months, the agent will lose any accrued vacation days
  • Loss of Placement:some text
    • If an agent lose placement with the client, the Account Manager will review the agent’s accrued vacation days and suggest using them before reassignment to a new client
  • Using Accumulated Days:some text
    • After 12 consecutive months with the same client without taking vacation, the agent has 3 months to use any accumulated vacation days. If not used within this period, the vacation days will expire
  1. Holidays

Our company observes the following U.S federal holidays: 

  1. New Year’s Day
  2. Memorial Day 
  3. Independence Day
  4. Labor Day 
  5. Thanksgiving Day
  6. Christmas Day 

Employees will receive paid time off for designated holidays. If an agent works on a holiday, they will receive additional pay or an alternative day off as compensation.

  1. Paid Sick Leave

All our agents are entitled to 3 paid sick days each year. If additional sick days are needed, they will be unpaid. This benefit is available regardless of the agent's tenure with the company.

  1. Bereavement Leave 

Bereavement leave is available to all agents in the event of the death or funeral of an immediate family member, including a partner, children, parents, or grandparents.Leave Entitlement:
Agents are entitled to 2 days of paid bereavement leave.Documentation:
To qualify for bereavement leave, agents must submit certified or official documents related to the death or funeral.

  1. Maternity/Paternity Leave

To support our team members during significant life events, we offer a maternity/paternity leave benefit, contingent on client’s approval, to assist with the transition into parenthood.Agents who have worked with the same client for at least one year are eligible for this benefit, pending the client’s approval. Agents are entitled to 4 weeks of fully paid leave, followed by 2 weeks of partial leave at 50% of their regular salary.Additional unpaid leave beyond the initial 6 weeks may be granted upon request with at least 30 days' notice and is subject to client’s approval based on operational needs.Agents must notify their client and Account Manager of their intention to take leave at least 60 days before the planned start date, providing a formal leave request and relevant documentation such as a doctor’s note or adoption paperwork.Upon returning to work, agents will be reinstated to their previous position, or a similar role if the client has requested another agent during the absence.

  1. Unused Paid Time Off

Unused paid time off will not be paid out in cash while an agent is actively working with a client. Agents are required to use their PTO for rest and personal time.

  1. Unpaid Time Off

7.1 Leave of Absence for Special Circumstances

Agents may request up to 5 days of unpaid leave for special circumstances. All unpaid leave requests are subject to the client’s approval and must be submitted as far in advance as possible. The Account Manager must be included in communications to ensure proper visibility and coordination.

If an agent fails to return to work or contact the Account Manager after the unpaid leave expires, it will be considered a voluntary termination of the contract.

Unpaid leave will only be granted once all paid time off has been exhausted.

  1. Tenure

Calculation of Tenure:

Agents' tenure is based on their start date with a client. If a contract with a client is canceled, tenure stops counting on the last day of work with that client.

Reassignment:

When an agent is reassigned to a new client, their tenure will restart from the new start date.

Gap Between Clients:

Periods during which an agent does not have an assigned client will not count toward their tenure.

  1. Time Off Documentation

All our agents should submit time-off requests via email to the client, with the Account Manager included for visibility. Once the client approves, the agent must then submit the request through Insightful.
