Vertu Agent's Data Protection and Confidentiality Policy

This policy covers all data, documents, and information that may be considered confidential or sensitive, including client details, financial data, business plans, employee records, and proprietary company information.

Data Protection:

Vertu Agent is responsible for handling personal and sensitive data in compliance with applicable data protection laws and regulations. This includes:

  • Collecting, using, and storing data only for legitimate business purposes.
  • Ensuring that personal data is kept secure and is not disclosed to unauthorized individuals.
  • Regularly reviewing data retention policies to avoid keeping unnecessary or outdated information.
  • Following secure data transfer protocols when sharing information internally or externally.

Prohibition on Storing Client Data on Personal Devices:

  • It is strictly prohibited to store any client data on personal laptops, computers, or other personal devices.
  • All client information must be accessed and managed through approved, secure channels provided by the company.
  • Agents may be required to log in to a remote PC located in the United States to perform their job duties, ensuring that client data remains within a secure and controlled environment.

Confidentiality:

Agents must maintain the confidentiality of all sensitive information encountered in the course of their work. This includes:

  • Not disclosing or discussing confidential information with unauthorized individuals, both inside and outside the company.
  • Using secure methods, such as encryption, when sharing confidential information.
  • Limiting access to sensitive information to only those who need it to perform their duties.

Client Information:

  • Client data is one of our most valuable assets, and protecting it is essential. Our agents are expected to:
    • Handle client information with the highest level of security and confidentiality.
    • Never share or use client data for personal gain or outside business purposes.
    • Report any unauthorized access or breaches of client data immediately to the relevant authorities within the company.

Breaches and Reporting:

In the event of a data breach or unauthorized disclosure of confidential information, employees are required to report the incident immediately to their Account Manager. The company will investigate and take appropriate action to mitigate the issue and prevent future occurrences.

Consequences of Violations:

Any violation of this policy will result in disciplinary action, up to and including termination of employment.
